How do I register for the conference?
Visit the conference website. Click on the large “Register Now” button on the top left corner. Follow all instructions.
How do I pay with check?
After you have complete the registration form online, you will be given the option to select “Check” as your payment type on the checkout page. You will receive a confirmation page when your registration is complete; please send a copy of that page, your check (please write the conference name and the full name(s) of the registrant’s on the check.

How do I get a receipt for registration purchases?
Visit the conference website. Click on the Registration tab, scroll down and the instructions should be on that web page.
How do I cancel my registration pass?
There are no cancellations, no refunds. Other options include: Substitute conference registrations can be made with no penalty. You can transfer your registration to another person at no additional cost or receive a certificate of credit to use towards a future Hart Energy Conference.
How do I transfer or substitute my registration pass?
Visit the conference website. Click on the Registration tab, scroll down and the instructions should be on that web page.
How do I receive credit to another conference?
Please send an email to rstarling@hartenergy.com to request a certificate of credit. The credit will be issued for the full amount paid for the conference.
Can I only purchase an exhibitor only pass?
We currently do not offer exhibit hall only passes.
When will I receive my registration pass/badge?
Badges can be picked up on-site. No advanced mailing is available at this time.

How do I purchase a booth for the conference and exhibition?
Visit the conference website you are interested in, click on the left tab that reads “Exhibitor Information”, scroll down and open the PDF of “Contract Agreement”. Fill out the forms and scan/email or fax them back to Mark Immekus, mimmekus@hartenergy.com, or Fax the forms to 713-840-8585.
What is my booth number?
Booth number(s) should be listed on the contract agreement or you can find all current exhibiting companies online by visiting the conference website and clicking on the left tab that reads “Exhibitor Information”, scroll down and the list of exhibitors and their booth numbers should be listed.

Visit the conference website and click on the “Exhibitor Information” tab. Scroll down and open the PDF of “Exhibitor Service Kit”. All exhibitor services and information should be provided by FREEMAN.

How can I pay for exhibitor/sponsorship packages?
When you sign a contract for an exhibitor booth or sponsorship package, please follow the payment instructions with that contract. For payment confirmation or assistants, Please contact our accounting department:

How many booth passes do I receive?
Each primary exhibitor company is allotted a limited number of badges. Exhibitors can order up to 3 badges (One Full Conference, Two Exhibit Hall Staff) for every 100 square feet of booth space.
How do I register my event staff?
Go to the conference website, click on the "Registration" button on the top left corner, enter your registration code, which is unique to your company (Your company’s exhibit contact received the registration code via email). Follow all instructions. Exhibitors have up to 3 badges (One Full Conference, Two Exhibit Hall Staff) for every 100 square feet of booth space.
I can not find the registration code for event staff. What do I do?
The staff registration code can be located in your contract, if you still can not find it please email rstarling@hartenergy.com and make a request for your company’s discount codes so that you may register you event staff.
Will I be able to break down my booth before the end of the conference and exhibition?
Due to the conference sessions being near the exhibit hall we cannot allow exhibitors to breakdown early. This is a serious safety issues. We appreciate your understanding
How can I let clients know that I will have a booth at the conference?
Visit the conference website. Click the “Marketing Kit” tab on the left side. Download our conference logos, marketing materials, etc.
What are the due dates for exhibitor listing, show guide ads, bag inserts, etc?
Exhibitor listing and Show Guide ads are due no later than 20 business days before the first conference day. Please send your information ASAP as it takes time organize and print our materials. Bag Inserts are due no later than 20 business days before the first conference day. First send your proof of bag insert to Roxanne Starling at 1616 S Voss #1000, Houston, TX 77057. Then after acceptance, send the bag insert packages to the advance warehouse (Storage). The address is listing on the exhibitor services guide (located on the exhibitors information page).
How do I send my Show Guide Ad?
Visit the conference website, click on the "Exhibitors Information" tab, scroll down and download the "Ad Spec Sheet". The sheet will give you our specifications for the show guide ad and instructions to upload your ad to us.
